In July, an HVAC schedule fills itself. The phone does the work and your real problem is triage, which is a dispatch problem, and we covered it in HVAC dispatch software. The rest of the year is the opposite. From March through May, and again in September and October, nothing fills itself. The schedule stops being a record of demand and becomes the only tool you have for manufacturing it.

Most scheduling software gets this backwards. It is built to organize a full calendar and has nothing to say about an empty one.

Shoulder season is a scheduling problem before it is a marketing problem

The swing is brutal and it is documented. Contractors who run on service calls alone report peak-to-shoulder revenue drops of 50 to 75 percent, and the worked example in one industry analysis was a shop billing $180,000 in a peak summer month falling to $45,000 or less by late fall. Payroll does not fall 75 percent. Truck payments do not fall at all.

The standard advice is to go buy leads in April. Some of that helps. But the cheapest fill for a soft week is already sitting in your own customer list: maintenance visits you are owed the labor for. The same analysis found that fewer than 35 percent of residential HVAC companies actively sell maintenance agreements, which means most shops are trying to advertise their way out of a hole their own schedule could fill. We laid out the whole model in the maintenance agreements playbook. The short version: agreements turn dead weeks into scheduled, prepaid work, but only if the visits actually get scheduled.

That last clause is where software earns its keep or does not.

What HVAC scheduling software has to know about a job

A generic calendar thinks every job is a colored rectangle. HVAC jobs are not rectangles.

  • A tune-up is 45 minutes to an hour, low risk, and a second-year apprentice can run it solo. It is also the most movable work you have, which is exactly why it gets moved until it falls off the edge of the season.
  • A diagnostic is booked for an hour and might become four. The schedule behind it needs slack, and the tech running it needs the experience to sell what they find.
  • A changeout is two techs, a full day, a committed truck, and equipment that had better be staged the night before. It is the highest-margin day on the board and the easiest one to wreck by stealing a tech for "one quick no-cool."

Software that schedules HVAC has to hold all of that: duration by job type, skill level by tech, crew size, and hard fences around install days. It also has to talk to the customer, because a not-home on a tune-up burns the drive and the slot. Confirmation texts the day before, and an on-my-way message with a real arrival window, are what keep a tune-up day from coming back with three not-homes on it.

A July schedule fills itself. An April schedule is something you build, and the software either helps you build it or it just watches.

Build the tune-up wave on purpose

Here is the play the big shops run that a five-truck shop almost never does. Every spring there is a wave: every agreement member is owed a cooling check before the heat arrives. Run 200 members and that is 200 visits, roughly 150 tech-hours of work, sitting there waiting to be placed. Placed well, they land in the softest weeks of March and April, grouped by neighborhood so the truck is not spending half of a slow month's day crossing town between them. Placed badly, they slip into June, collide with the first heat wave, and half of them quietly never happen. A member who paid for two visits and got one does not renew.

The spreadsheet version of this fails the same way every year, and it fails silently. The wave never gets built because building it is four hours of tedium the owner does not have. This is also where online booking stops being a nice-to-have: send members a link, let them grab slots you have already fenced to the soft weeks, and the schedule fills itself in the one season it otherwise will not.

The HVAC scheduling software you can actually buy

Jobber publishes its pricing and has moved online booking, route optimization, and GPS tracking down to every plan, which deserves credit. But the $29-a-month Core plan is one user, so a real shop is on Connect at $99 or Grow at $149 a month billed annually, and automated customer reminders only start at Connect. More to the point, Jobber will book a recurring visit but has no concept of a tune-up wave, a skill level, or an install fence. The seasonal thinking stays in your head.

Housecall Pro starts at $59 a month, with a genuinely clean drag-and-drop board. GPS tracking arrives on the $149 Essentials tier. But membership plans, the feature that generates and schedules agreement visits, sits only on Max at $299 a month. The one scheduling capability your shoulder season depends on is gated to the top tier.
