Privacy Policy

This Privacy Policy applies to the FieldCommerce website at fieldcommerce.ai and to the FieldCommerce mobile applications for iOS and Android (collectively, the “Services”). It describes how FieldCommerce, LLC collects, uses, shares, and protects your information across all of these Services.

1. Information We Collect

Personal Information

When you use FieldCommerce, we may collect the following types of personal information:

  • Contact information (name, email address, phone number)
  • Business information (company name, business type, address)
  • Account credentials and profile information
  • Payment and billing information (processed by our payment processor, Stripe; we do not store full credit card numbers)
  • Customer data you input into our system

Usage Data

We automatically collect information about how you use our service:

  • Log data (IP addresses, browser type, device information)
  • Usage analytics (features used, time spent, performance metrics)
  • Device identifiers and crash/diagnostic data
  • Cookies and similar technologies (website only)

Product Analytics and Session Replay (Mobile App)

We use PostHog (a product-analytics provider) to understand how our mobile app is used so we can improve it. Through PostHog we collect usage and interaction data — screens viewed, features used, taps, and in-app actions — and masked session recordings, in which all text, input fields, and images are obscured on your device before they are uploaded. We associate this data with your user account identifier, business identifier, and role. We do not collect your name, email address, phone number, postal address, or any customer/client data through analytics, and analytics data is never sold or used for advertising. This data is processed in the United States by PostHog Inc.

Mobile App Data and Permissions

Our iOS and Android apps request access to certain device features to provide field service functionality. Each of these is permission-gated by your device’s operating system, and the app requests your consent before access. You can grant or revoke any of these permissions at any time in your device settings.

  • Precise location (GPS): Used for job site check-in, routing, dispatch, and associating work with a location. Collected only while you use location-enabled features and with your permission.
  • Camera and photos: Used to capture and attach photos (including photos of receipts) to jobs, estimates, and work records. We access only the images you choose to capture or upload. These images may be transmitted to third-party AI services for analysis (see Section 4, “AI-Powered Features”).
  • Microphone: Used to record voice notes you choose to attach to jobs or records. These voice recordings may be transmitted to third-party AI services for transcription (see Section 4, “AI-Powered Features”).
  • Push notifications: We collect a device push token to send you job, scheduling, and account notifications.

Ownership of Your Content

Customers retain ownership of all customer records, job information, photos, documents, and other content they submit to the Services. We process this content on your behalf to provide the Services and do not claim ownership of it.

2. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve our field service management platform
  • Process payments and manage your account
  • Communicate with you about our services, updates, and support
  • Analyze usage patterns to enhance user experience
  • Provide AI-assisted features such as voice transcription, photo and receipt analysis, AI chat, job preparation, and business insights (see Section 4)
  • Ensure security and prevent fraud
  • Comply with legal obligations
  • Send marketing communications (with your consent)

3. Information Sharing

We may share your information in the following circumstances:

  • Service Providers: Third-party vendors who help us operate our business, including Stripe (payment processing), Linode (cloud hosting, storage, and backups), Telnyx (SMS and communications), SendGrid (transactional email), PostHog Inc. (product analytics and masked session replay for our mobile app; data processed in the United States), and analytics providers. These vendors may only process your data to provide services to us.
  • AI Service Providers: To power our AI-assisted features, we share certain content with Google (Gemini, Cloud Speech-to-Text, Document AI, and Vision) and Anthropic (Claude). The categories of data sent may include voice recordings, photos, receipts, chat content, and client, job, invoice, and quote data. This data is used solely to provide features such as voice transcription, photo and receipt analysis, AI chat, job preparation, and business insights. We use these providers under commercial/enterprise terms that provide protection equal to or greater than our own practices: these providers are contractually prohibited from using your data to train their AI models and are bound by data-processing terms governing retention and deletion. They process your data only to provide these services to us.
  • Business Transfers: In connection with mergers, acquisitions, or asset sales
  • Legal Requirements: When required by law, regulation, or legal process
  • Protection: To protect our rights, property, or safety, or that of our users
  • Consent: With your explicit consent for specific purposes

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

We may add or replace service providers from time to time. A current list of subprocessors is available upon request at privacy@fieldcommerce.ai.

4. AI-Powered Features

Some features of the Services use artificial intelligence technologies provided by third-party AI providers, including voice transcription, photo and receipt analysis, an AI assistant/chat, job preparation, and business insights.

When you choose to use AI-powered features, relevant information — such as job details, customer communications, notes, voice recordings, photos, receipts, documents, and other content you submit — may be transmitted to these AI providers solely to generate the outputs you request. This processing is not performed solely on your device. The specific providers and the protections that apply are described in Section 3, “AI Service Providers.”

We do not permit these AI providers to use customer data submitted through the Services to train their AI models.

AI-generated outputs may contain errors or inaccuracies. You are responsible for reviewing AI-generated content before relying on it.

5. Data Security

We employ industry-standard administrative, technical, and physical safeguards designed to protect your information, including:

  • Encryption of personal and sensitive data at rest
  • Secure transmission of all personal and sensitive data using modern cryptography over HTTPS
  • Access controls and authentication requirements
  • Logging, periodic security reviews, and vulnerability management practices
  • Employee training on data protection
  • Incident response procedures

However, no internet transmission is completely secure. We cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as:

  • Your account is active
  • Needed to provide you services
  • Required by law or regulation
  • Necessary for legitimate business purposes

When we delete your information, we do so in a secure manner.

You may request deletion of your account and the personal data associated with it at any time by emailing privacy@fieldcommerce.ai. We will delete your personal data within a reasonable period, except where we are required to retain certain information to comply with legal obligations, resolve disputes, or enforce our agreements.

7. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request access to your personal information
  • Correction: Request correction of inaccurate information
  • Deletion: Request deletion of your information
  • Portability: Request a copy of your data in a portable format
  • Restriction: Request restriction of processing
  • Objection: Object to certain processing activities
  • Withdraw Consent: Withdraw consent where processing is based on consent

8. Cookies and Tracking

We use cookies and similar technologies to:

  • Maintain your session and preferences
  • Analyze website usage and performance

You can control cookie preferences through your browser settings.

No Cross-App or Cross-Site Tracking

We do not track you across other companies’ apps or websites, and we do not use third-party advertising networks or share your data with data brokers. Our mobile apps do not use advertising identifiers for tracking, and we do not present an App Tracking Transparency request because we do not engage in tracking as defined by Apple and Google. The analytics we use are first-party and limited to operating and improving the Services. For the product analytics and session replay described in Section 1, our mobile app uses an analytics identifier generated by the analytics SDK and associated with your account — not your device’s advertising identifier.

This is distinct from the service-provider processing described in Section 3. We do share data with service providers — including the AI service providers named in Section 3 — strictly to operate and provide the Services to you. That processing is governed by contracts that limit each provider to acting on our behalf, and it is not advertising, cross-app tracking, or selling of your personal information.

9. Third-Party Links

Our service may contain links to third-party websites or services. We are not responsible for their privacy practices. We encourage you to read their privacy policies.

10. Where Your Information Is Processed

FieldCommerce is operated in the United States, and the Services are intended for users in the United States. Your information is stored and processed in the United States, including by the service providers described in Section 3 (such as Stripe, Google, and Anthropic), who also process data in the United States. If you access the Services from outside the United States, you understand that your information will be processed here.

11. Children's Privacy

FieldCommerce is not intended for children under 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes by:

  • Posting the updated policy on our website
  • Sending email notifications to registered users
  • Displaying prominent notices in our application

13. California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) provide you with specific rights regarding your personal information.

Personal Information We Collect

In the past 12 months, we have collected the following categories of personal information:

  • Identifiers: Email address, IP address, device identifiers
  • Internet activity: Pages visited, browser type, device information, usage analytics (via Google Tag Manager)
  • Usage and interaction recordings: Mobile app interaction events and masked session recordings, in which all text, input fields, and images are obscured on your device before upload (via PostHog)
  • Commercial information: Interest in our services (email signups)
  • Geolocation data: Precise location collected by our mobile apps when you use location-enabled features
  • Audio, electronic, and visual information: Voice recordings and photos (including photos of receipts) you choose to capture in our mobile apps

We collect this information for business purposes: providing our services (including AI-assisted features), communicating with prospective customers, and analyzing how our website is used.

Categories of Sources

We collect personal information directly from you (for example, when you create an account, submit a form, or capture content in our apps), automatically from your device and your use of the Services (for example, log and usage data), and from service providers that help us operate the Services.

How Long We Keep It

We retain each category of personal information for as long as needed for the purposes described above and as set out in Section 6 (Data Retention). We do not retain personal information longer than is reasonably necessary for those purposes or as required by law.

Sale or Sharing of Personal Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under the CCPA/CPRA. We have not sold or shared personal information in the past 12 months.

Third Parties We Share With

  • Google (via Google Tag Manager): Website analytics and performance data
  • Google (Gemini, Cloud Speech-to-Text, Document AI, Vision): Voice recordings, photos, receipts, and client, job, invoice, and quote data, to provide AI-assisted features. Contractually prohibited from training its AI models on this data.
  • Anthropic (Claude): Chat content and client, job, invoice, and quote data, to provide AI chat and insights. Contractually prohibited from training its AI models on this data.
  • Stripe: Payment and billing information to process transactions
  • Linode: Cloud hosting, storage, and backups of data you store in the Services
  • Telnyx: Phone numbers and message content to send SMS and related communications
  • SendGrid: Email address and message content to send transactional email
  • PostHog: Mobile app usage and interaction events and masked session recordings (associated with your user account identifier, business identifier, and role) to provide product analytics

Your California Rights

  • Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected about you
  • Right to Delete: Request deletion of personal information we have collected from you (subject to certain exceptions)
  • Right to Correct: Request correction of inaccurate personal information
  • Right to Opt-Out: Opt out of the sale or sharing of your personal information. We do not sell your personal information. To opt out of data sharing for analytics purposes, contact us below.
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights
  • Right to Limit Use of Sensitive Personal Information: Our mobile apps collect precise geolocation, and may process voice recordings and photos, which can be considered sensitive personal information under CPRA. We use this information only to provide the field service and AI-assisted features you request (such as job site check-in, routing, dispatch, voice transcription, and photo and receipt analysis) and not to infer characteristics about you. Where we transmit this information to AI service providers, they are contractually limited to processing it on our behalf and prohibited from training their models on it. We do not sell or share sensitive personal information.

How to Submit a Request

To exercise your California privacy rights, submit a verifiable consumer request to privacy@fieldcommerce.ai. We will respond within 45 days. We may extend this period by an additional 45 days when reasonably necessary, and will notify you of any such extension.

You may also designate an authorized agent to make a request on your behalf. We will require written proof of authorization.
